The Challenge: Unifying a Global Workforce

PayPal required a standardised, high-quality, and creative welcome experience for 23,000 new and existing employees across North America, Europe, Asia, and Southeast Asia.

The core challenge was not just scale but complexity:

  1. Product Design: Source seven individual, branded items and design a custom outer box that converted into a functioning board game.
  2. Simultaneous Production: Coordinate production and quality control for all eight components (seven items plus the custom box) across different suppliers to ensure everything finished at the exact same time.
  3. Complex Fulfillment: Manage three distinct shipping and co-packing methodologies for four global regions, including individual door-to-door shipping for thousands of employees in Asia.

Our Solution: Strategic Sourcing and Bespoke Logistics

Newlands Sourcing implemented a multi-phased strategy, acting as PayPal’s single point of contact from concept to delivery.

1. Productisation and Quality Control
We managed the entire creative pipeline, ensuring the final product maintained PayPal’s premium brand identity.

  • Item Sourcing: Sourced seven items: coffee cup, notepad, pen, backpack, scarf, cap, and stickers.
  • Custom Design: Worked with factory partners to develop a unique outer box that folded open into a bespoke board game, fully branded with PayPal’s logo and colour scheme.
  • Pre-Production: Coordinated physical samples and digital artwork approvals for every item and the packaging, establishing quality benchmarks before mass production.
  • Simultaneous Production: Used our Quality Control (QC) system to synchronise the mass production schedules of multiple factories, ensuring all 23,000 units of each item were completed and ready for co-packing at the same time.

2. Co-Packing and Global Fulfillment
The most complex phase was coordinating logistics tailored to each region’s compliance and operational requirements.

  • United States: Bulk shipping to a US-based 3PL for co-packing and local distribution.
  • Europe: Bulk shipping to our partner facility in Ireland for local European distribution.
  • China & Southeast Asia: Door-to-door individual shipments requiring the collection of 8,000 unique employee addresses, individual labelling, customs declarations, and end-to-end shipment tracking.

To manage this, all items were first consolidated at a single 3PL facility in China for initial quality checks and bulk shipment preparation.
